At Community STRIDES, ensuring a safe, inclusive, and enjoyable experience for every participant is our top priority. We believe that clear communication and transparency are essential in creating a positive environment for all participants. This page outlines our policies and guidelines, covering everything from registration and health procedures to behavior expectations and emergency protocols. Attendance Policies
Drop-Off Policy
Parents and guardians are required to adhere to the designated drop-off time for all scheduled activities. Participants must arrive no later than 5 minutes after the scheduled start time each day. Timely arrival is essential to ensure smooth transitions for all participants and on-time transportation to daily activities.
Following the 5-minute grace period, all staff will depart for scheduled activities, and late arrivals may be unable to participate for that day. This policy is in place to minimize disruptions and ensure the safety and timely supervision of all participants.

Pick-Up Policy
Parents and guardians are required to adhere to the designated pick-up (dismissal) time for all scheduled activities. Participants must be picked up no later than the scheduled dismissal time. Timely pick-up is essential to ensure participant safety and appropriate staff supervision. Only pre-approved individuals, as listed on the participant’s registration form, may pick up participants. All approved individuals must present a valid photo ID at pick-up.

Repeated late pick-ups disrupt program operations and place a strain on staff supervision. The following procedures will be enforced:
-After the second late pick-up, the family will receive a written notice reminding them of the program’s pick-up expectations.

-After the third late pick-up, the family may be dismissed from the program.

Community Integration Cancellation Policy
Due to the structured nature of our programs and the advanced planning required for staffing, transportation, and resources, refunds will not be issued for cancellations made within 24 hours of a scheduled event. This policy allows us to effectively manage staff coverage and program operations. We appreciate your understanding and cooperation.
Summer Camp Cancellation Policy & Cancellation Deadlines
A full refund may be issued if written notice of cancellation is received no later than 10 days prior to the start of camp. The final day to receive a full refund is Sunday, May 22, 2026.
Due to the structured nature of our summer program and the extensive planning involved in staffing, transportation, and resources, all registration fees are non-refundable once camp begins on June 1, 2026. Refunds will not be issued for client cancellations, illness, or no-shows after this date. Families are encouraged to carefully review program dates, schedules, and expectations prior to registering. This policy ensures program consistency and appropriate staffing to support all participants. Makeup days will not be offered for missed days of camp.

“Good fit” Refund
Our “Good Fit” policy is designed to ensure the safety, enjoyment, and socialization opportunities of all participants. Parents will be asked to provide accurate information in terms of their child’s current level of functioning and share any needs relating to their cognitive, academic, communication, physical/motor, social & emotional, and behavioral skills so that Community STRIDES may provide a supportive and safe environment for each participant. If the team decides that we cannot provide the support that your child needs, we will refund the future dates in full.

Staff Schedule Modifications
While we strive to adhere to our planned daily schedule, we reserve the right to make changes due to unforeseen circumstances or events beyond our control. These changes may include adjustments to activity times, locations, traffic, emergencies, or programming to ensure the safety, well-being, and enjoyment of all participants. We understand the importance of clear communication and will inform parents and guardians promptly of any schedule modifications via preferred communication channels.​​

Illness (Sick) Policies
To protect the health and safety of all participants and staff, participants must be free from illness to attend any program or activity.
Participants should not attend if they exhibit any of the following symptoms:
-Fever of 100.4°F (38°C) or higher within the past 24 hours
-Vomiting or diarrhea within the past 24 hours
-Contagious illnesses (including but not limited to influenza, COVID-19, strep throat, hand-foot-and-mouth disease, pink eye, or other communicable conditions)
-Severe cough, sore throat, unexplained rash, or other symptoms that may interfere with participation or pose a health risk to others

Participants may return to the program only when they have been:
-Symptom-free for at least 24 hours without the use of fever-reducing medication, and
-Cleared to participate in group activities.
If a participant becomes ill during the program, a parent, guardian, or emergency contact will be notified and required to pick up the participant promptly. Due to staffing and scheduling requirements, refunds or makeup days will not be provided for absences due to illness. This policy is in place to ensure a safe and healthy environment for all participants and staff.

Funding & Payment Responsibility Policy
At Community Strides, we are committed to providing high-quality programming and services to individuals and families. Many of our services may be eligible for funding through the San Diego Regional Center (SDRC) or your Financial Management Service (FMS). However, it is important to understand the financial responsibilities in the event that funding is not approved or does not fully cover the cost of our services.

Funding & Payment Policy (SDRC)
Participants who intend to use San Diego Regional Center (SDRC) funding must obtain authorization from their service coordinator/provider and payment prior to participating in any of our programs. Families will be notified by the Community Strides team 15 days prior to the start of our 2026 Summer Camp if SDRC funding and payment have not been secured. In this case, participants can choose to private pay to ensure the costs of camp are covered if authorization and payment are delayed. In the event that this happens:
-Private payment for all registered dates the participant will be attending during the 2026 summer program will be due no later than 10 days prior to the beginning of camp (May 21, 2026).

-If SDRC funding is approved retroactively and payment is received for the participant, a full refund will be issued for eligible services already paid privately.
​
-Families are responsible for communicating directly with their SDRC service coordinator to ensure timely funding approval. Failure to receive payment by the required deadline (May 21, 2026) may result in delayed participation of camp.

Client Financial Responsibility
If any portion of the cost of services is not covered by SDRC, your FMS, or any other third-party funding source, the client and/or their responsible party will be responsible for paying the remaining balance directly to Community Strides LLC. This includes, but is not limited to:
-Program or camp fees

-Admission or activity entry fees
​
-Any other associated or out-of-pocket costs related to participation

Behavior Policies
Participants may occasionally display challenging behaviors, most of which can be effectively managed by our trained Community STRIDES employees. Our staff are equipped with skills in empathetic listening and strategies designed to address these challenges. Additionally, several staff members have undergone Crisis Prevention Institute Training (CPI Training).
​
Should challenging behaviors persist or escalate in frequency or severity, further behavioral support may be necessary. In such instances, Community STRIDES staff will assess the situation and formulate appropriate strategies. All incidents will be documented, and guardians will be promptly informed.

If initial interventions are unsuccessful, parents will be consulted to assist in devising additional strategies. Successful resolution of the behavior will allow the individual to continue participating in activities.

However, if challenging behaviors persist despite the efforts of staff and parents, parents may be required to withdraw their child from the program. In cases where a participant poses a safety risk to themselves or others, and immediate interventions are ineffective, it may be necessary for the participant to leave the premises before the scheduled pick-up time.

Health & Safety Policies
Health Guidelines
We adhere to strict health guidelines recommended by health authorities to prevent the spread of illnesses. This includes regular hand washing, sanitization, and monitoring of camper health. Staff members will procure any and all necessary medical help for your camper while he/she is in our care. Campers may receive basic first aid for minor injuries (such as a band-aid, ice pack, etc.).
Emergency Procedures
We have comprehensive emergency plans in place, including protocols for handling medical emergencies. When a camper exhibits serious injury or symptoms that may warrant a trip to the hospital, emergency care will be provided, including transportation by ambulance if necessary. A camp representative will accompany the camper to the hospital. We will contact you immediately. If we cannot reach you, we will use our best judgment and continue to make all efforts to contact you.
Medical Information & Release Form
We require all participants to complete and sign a Medical Information and Release Form to ensure that we can provide appropriate care and support during their time at camp.. It is mandatory for participation in our programs, and all information provided will be kept confidential and used only for the purpose of ensuring camper safety and well-being.
Medical Coverage Disclaimer
Community Strides provides no health insurance or medical coverage, and parents/guardians will have the responsibility for payment of any medical treatment that may be required while participants are at camp.
Communicable Diseases
Reporting Requirements: Parents/guardians are required to promptly notify camp administration of any diagnosed notifiable communicable diseases affecting their child. This includes illnesses such as COVID-19, influenza, measles, etc.

Exclusion Criteria: Campers diagnosed with a notifiable communicable disease may be required to refrain from attending camp until they are no longer contagious, as determined by healthcare professionals and in accordance with public health guidelines.
Communication: We will communicate any confirmed cases of notifiable communicable diseases to affected families while maintaining confidentiality and adhering to privacy laws.
Return to Camp: Campers recovering from a notifiable communicable disease must provide medical clearance from a healthcare provider before returning to camp activities.

Allergies and Medications
We collect and maintain information about campers' allergies and medical conditions to ensure appropriate care and response in case of emergencies.
Toileting Policies
Staff provides “auditory monitoring" from outside the entry door just in case there are issues, if a camper needs assistance, a staff member will assist. Only campers with specific toileting protocols will be assisted by a staff member.
Qualified Staff
All of our camp staff members undergo thorough background checks and are trained in CPR, first aid, and emergency procedures. Mandated Reporting. California state law mandates that workers in certain professions must make reports if they have reasonable cause to suspect abuse or neglect. All professionals who work at camp are considered mandatory reporters because their profession is in the educational, clinical or therapeutic field and they come into contact with vulnerable populations (i.e., children, individuals with disabilities, and the elderly). By law, mandatory reporters must report suspected abuse or neglect regardless of whether or not the knowledge of the abuse was gained in the reporter’s official capacity.
